Curriculum Requests
Adaptations to or choices in your curriculum are done via a curriculum request. Every request will be reviewed by your tutor who can sometimes decide on it, or provides input for a decision that is made by the Senior tutor or UCU Exam Board.
Please note that with sending a request, we expect you to have knowledge of the Academic Rules and Regulations and oversee any consequences. Always discuss with your tutor first, before submitting a request.
Osiris curriculum requests:
University College Utrecht allows for you to request a catch-up exam (no more than three during your entire programme) for any individual written in-class assignment that you have missed. Find all information about catch-up exams here.
If you do not meet the prerequisites for a course you wish to take next semester, you must fill out and submit a Case request for Course admittance, EXCEPT when you are currently taking a course which will serve as a prerequisite on completion.
Note that course admittance needs to be obtained prior to the final deadline of the registration process.
Please go to OSIRIS Student, and log in. Go to the tab “Cases” and click on Start case -> Curriculum Matters. You can then scroll down and choose “UCU Course admittance”.
Please discuss your need for any course load reduction for a future semester with your tutor. If you both agree that this is needed, and if this will cause a credit shortage for which you need a 7th semester at UCU, you will need to request Exam Board approval for the 7th semester, via an Exam Board request -> "other". If it will not cause a credit shortage, you do not need to request a 7th semester.
In order to adjust the credit load you will be taking at University College Utrecht when you pre-enrol for your next semester’s courses (the regular semester course load you would be assigned is 30 ECTS credits), you need to register a ‘non-standard UCU credit load’ via Osiris Student. This is not a request for approval, it merely adjusts the credit load you will be allocated at UCU for the subsequent semester, and is in effect immediately.
If personal circumstances require you to be taken out of a course that has already started, you will need to discuss this with your tutor, and then use the course withdrawal request in Osiris Case - see below.
This procedure is used to request a withdrawal from one or more courses. Please note that once a course withdrawal request has been approved, any results you may have already obtained as part of this course will be removed – this cannot be reversed. The form to request a course load reduction is available in OSIRIS Zaak/Case.
Please go to OSIRIS Student, and log in. Go to the tab “Cases” and then on Start case -> Curriculum Matters. You can then scroll down and choose “UCU course withdrawal”. You will be informed about the outcome of your request, please ensure to log in and also check for any specific tutor comments.
Note: if you want to withdraw from an off-campus course, please follow the procedure for an off-campus course withdrawal outlined here.
This procedure is used for requesting an extension of the final due date of papers or assignments. It only applies if the hand-in date is moved beyond the last day of the semester. Requests will only be granted (a) if submitted no later than the final day of the semester, AND (b) in case of extenuating circumstances. The form to request an extension for all courses is available in OSIRIS Zaak/Case.
Please go to OSIRIS Student, and log in. Go to the tab “Cases” and click on Start case -> Curriculum Matters. You can then scroll down and choose “UCU extension request”. You will be informed about the outcome of your request, please ensure to log in and also check for any specific teacher or tutor comments.
If you are considering a temporary leave of absence from UCU, please find all information and the procedure to follow here.
This procedure is used for declaring your major. You must do this no later than halfway through your third semester.
Please go to OSIRIS Student, and log in. Go to the tab “Cases” and click on Start case -> Curriculum Matters. You can then scroll down and choose “UCU major declaration”.
This procedure is used to request approval to include an off-campus course (OCC) in your UCU curriculum.
- A maximum of 22,5 ECTS of off-campus courses (15 ECTS if combined with exchange) can be counted towards the 180 ECTS programme requirement. Any additional approved off-campus course(s) are always on top of the mandatory 180 ECTS.
- OCC's cannot fulfill any other degree requirement (methodology, language & culture, track finisher etc.), unless specifically requested and approved by the Exam Board.
- An approved OCC carries commitment. You should submit a request to withdraw any approved OCC if the course is not followed - see the procedure for an off-campus course withdrawal outlined here.
- Please note any off-campus courses taken as part as one of the double degree programmes do not need to be requested with UCU - unless you need them for a specific UCU graduation requirement.
- See ARR Art. 3.7.2 for further information about the rules and regulations surrounding off-campus courses.
How to request an off-campus course for inclusion in your UCU curriculum:
Please go to OSIRIS Student, and log in. Go to the tab “Cases” and then on Start case -> Board of Examiners requests. You can then scroll down and choose “UCU Off-Campus Course request". You will be informed about the outcome of your request, please ensure to log in and also check for any specific tutor comments.
This procedure is used to request a Pass/Fail grade for a course, as per the stipulations outlined in Art. 5.4.2 of the Academic Rules and Regulations. Second- and third-year students in good academic standing may request one course (not the thesis) that counts towards the degree to be registered as pass of fail.
Please go to OSIRIS Student, and log in. Go to the tab “Cases”. Start a new Case with the '+' icon and select -> Curriculum Matters. You can then scroll down and choose “UCU Pass/Fail registration.”
Timeline change: If you would like to change your thesis from Spring to Spring & Summer or vice versa, discuss this with your supervisor. If they agree, please request a change of thesis timeline at least one month before your current deadline via Osiris Case: "UCU thesis deadline adjustment request". You will be asked to upload evidence that you have agreed this with your supervisor.
Thesis extension: In agreement with your supervisor you can request an extension of your current thesis deadline because of extenuating circumstances beyond your control. Submit a UCU thesis deadline adjustment request in Osiris Case for this. A deadline adjustment request must be submitted at least one week before the submission deadline.
Please note:
- Submission of your thesis beyond the set deadline may have grading consequences.
- An extended deadline means that the grading deadline of ten working days may not be possible. This will affect your graduation date, do bear this in mind as master's programmes will have strict deadlines for submission of graduation documents.
Curriculum Request by Webform
This procedure is used for declaring your minor. Minors consists of 30 ECTS of courses outside of the major, but can contain courses that fulfill other degree requirements.
Please use this webform to enter your request.
This procedure is only to be used for Exam Board requests that cover none of the above curriculum requests. Only one request per form can be submitted and thus be approved. F.i.: a request to let an extra off campus course (OCC) count within your 180 ECTS program, should always be accompanied by a separate OCC request.
