Registration and placement procedures

Pre-registration deadlines for continuing students generally fall at the end of the third week after the UCU midterm break (class week 10).

To make enrollment guarantees, the registration committee determines priority categories for the students who have been pre-registered by their tutors by the pre-registration deadline. Pre-registered students in the highest priority categories are placed during the preregistration round; space permitting, places are lotteried for students in the next highest priority categories.

Pre-registered students for whom places cannot be confirmed on the basis of their priority category at this time are placed on the waiting list for their first choice courses, and can be placed by their tutors in an alternative, depending on availability.

A percentage of places are reserved in every course (about 30% of total course places).  When registration is finalized before the term (semester or summer term) begins, the reserved spots are distributed by priority categories, as in the initial pre-registration round; a lottery is used whenever there are fewer available spaces than requests by students in the same priority category. 

Continuing students who failed to pre-register by the pre-registration deadline are accommodated as possible from the reserved places in the final registration round via the general waiting list. 

General priority considerations

For level 2 and 3 courses, in order of priority:

  1. 3rd year students (6 semester > 5 semester when course is offered every semester)
  2. 2nd year students (4 semester > 3 semester when course is offered every semester)
  3. 1st year students

 

For level 1 courses, in order of priority:

  1. 3rd year students fulfilling specific level 1 major requirements for graduation
    Note that 3rd year students fulfilling level 1 minor requirements or taking an elective have been placed on the waiting list and will be placed, space permitting, in upcoming registration rounds.
  2. 2nd year students starting potential tracks in major/minor
  3. 1st year students beginning potential tracks/fulfilling breadth requirements

 

For language courses, in order of priority:

  1. 3rd year students finishing full language requirement
  2. 2nd year students (4 semester > 3 semester when course is offered every semester)
  3. 1st year students
Confirmed places in courses

Confirmed placement in UCU courses for a given semester will be visible via UCU workspaces (summer terms appear as spring semester courses). Students can log in at Workspaces (link in footer) and go to ‘My schedule’.

Confirmed placement is guaranteed only when:

  1. the student qualifies for the course (i.e., meets the prerequisite requirements)
  2. placement does not create a time slot conflict with another confirmed course 

 

Note that placement in 5th courses are never guaranteed until all course placements are finalized when registration closes definitively.

Course changes

Submit all change request via Google Docs. You tutor then confirms the online request before it is considered by the registration team.

Keep institutional waiting list deadlines in mind if you want to add - or remove - yourself from a waiting list.

Waiting list deadlines for students are generally scheduled as follows for semester terms:

  • Round 1: Monday two weeks before semester classes begin
    (outcome of placement procedure known by Friday of that week)
  • Round 2: Tuesday in week before semester classes begin
    (outcome of placement procedure known by Friday of that week)
  • Round 3 (Final Round): Wednesday in week 1 of semester classes
    (outcome of placement procedure known by Friday of that week)

Registration for regular semester classes closes on the first Friday of the semester. After that, changes can no longer be made via the regular registration procedure.

Summer term has only two waiting list rounds, one in the week before the summer term begins, and a second after the first day of class. Because of the condensed format of summer term courses, registration closes on the second day of class.
