Graduation
Follow these steps to graduate.
Please note:
- The Student Desk checks graduation files on the 15th of every month or the next business day if the 15th is a weekend or holiday day.
- Do not deregister until you have received a message from the Student Desk that you have graduated.
Step 1: Am I ready to graduate?
Make sure you do the following:
Need to postpone your graduation?
Submit a request for postponement to the Board of Examiners via Osiris Case, within two weeks of being notified of your graduation by email.
Step 2: Wait for approval by Board of Examiners
Waiting time: max 10 business days
The Student Desk checks graduation files in Osiris on the 15th of every month, or the next business day if the 15th is a weekend or holiday day. When Osiris indicates that you have completed all the required elements of your degree your dossier is forwarded to the Board of Examiners. The Board of Examiners then checks whether you meet all examination requirements.
Your graduation date
Following the Board's approval, your graduation date will be emailed to you on your UU email account.
Please note! The graduation date is not the day of the graduation ceremony! Your graduation date is the last business day of the month the examination board determines that you have graduated (i.e. not the month of your graduation ceremony).
Step 3: Receive your diploma
There are several graduation ceremonies per year. You'll receive a personal invitation with the time and place.
Step 4: Terminate enrolment
After you have been informed of your graduation date, you have to terminate your enrolment before the first of the following month via Studielink. In Studielink you choose the first of the month as the termination date.
You are entitled to a refund of 1/12th of the total tuition fees for that academic year for each month you are no longer enrolled.
Keep in mind:
- If you graduate in June, July, or August, then there is no need to terminate your enrolment, since termination of enrolment as of 1 July or 1 August will not entitle you to any refund of tuition fees.
- If you do not terminate, your enrolment will end automatically as of 1 September.
Tip: if you have any doubts about whether you will make it to graduation in August, re-enrol for the next academic year! You can still cancel this until 1 September if you still manage to graduate.
Detailed instructions on how to go about terminating your enrolment and details concerning refunds can be found here.
Step 5: Cancel your student grant and travel card DUO
It is your responsibility to cancel your student grant and travel card from DUO should you graduate or terminate your study for any other reason. If, for instance, you terminate your enrolment as of 1 October, you should stop your student grant and travel card as of 1 October as well with DUO.
Need a statement of graduation?
Approximately 4 weeks after your exam date, you can access the DUO diploma register to request a statement that you have passed your diploma.
You can also contact the Student Desk if you need a grade list and/or statement of graduation, when this is not yet available in DUO.
