Graduation
In order to graduate, you must meet the exam requirements. The Board of Examiners will notify you when you have done so. The requirements are described in the Education and Examination Regulations.
The Board of Examiners checks to see whether you have completed the graduation programme according to Osiris at 09.00h on every last Wednesday of the month. In July and August the Board of Examiners checks this more often. If you meet the requirements, the Board of Examiners will notify you by e-mail. Please check your e-mail regularly in the last week of the month if you think you are eligible for graduation. This e-mail will contain important information, for example about the termination of your enrolment.
Check your study progress review (SVO) in Osiris:
- Are there any results registered under Other Courses that are part of your degree programme? Please inform the Board of Examiners.
- Have you earned credits at another institution in the Netherlands or abroad that have not yet been recorded in Osiris? Please fill in the form at: students.uu.nl/en > your programme > Practical information > Academic policies and procedures> Exemption.
- Your name as registered in Osiris will be stated on the diploma and the grade list. Are you not enrolled correctly in Osiris and/or is your name not stated correctly in Osiris? Then please contact the Board of Examiners.
The verification date is the date on which the Board of Examiners checks whether you fulfilled the graduation requirements. Your graduation date is the last day of the month in which your final result is registered in Osiris. You can pick up your diploma approximately 2 weeks after the verification date. N.B. In July and August Osiris will be checked more often to monitor which students are eligible for graduation. When you graduate in this period the graduation date will be August 31st 2024. You will receive an Official Confirmation of Graduation before this date. When the thesis grades are in Osiris before 15 July (Bachelor & Master) this confirmation will be sent before August 1st 2024. If the grades are entered on a later date the confirmation will be sent before August 31st.
Results that are registered in Osiris after your graduation date will not count towards your degree and will not be listed on your official transcript, the International Diploma Supplement (IDS).
Do you not wish to graduate yet? In certain cases it is possible to postpone your graduation (see below).
If you think that you have graduated but have not yet received word of this, then please send an email to the Board of Examiners.
If you wish to participate in the Graduation Ceremony, please indicate this on the web form that will be sent to you in your final notification. You have five working days to return the form. If we receive the form later you will be placed on a waiting list for the Ceremony.
- If you are a Master student please attach a file containing a short summary of your thesis, your curriculum vitae (resumé) and a few lines on your plans and ambitions to the application webform.
Without this information it is not possible to participate in the Ceremony.
It is possible to graduate during the academic year and receive your diploma during the Graduation Ceremony at a (much) later date. If you have indicated beforehand that you want to participate in the Graduation Ceremony, you will be invited automatically.
All ceremonies are in cap and gown, which can be borrowed from U.S.E. free of charge. You will be asked to deposit your ID or driver’s license.
Family members and friends are welcome to attend the reception. More information about the number of guests will follow in the formal invitation.

If the Board of Examiners verifies that you have met all the graduation requirements, they will inform you by email on the last Wednesday of the month. This email contains your graduation date and other information, such as terminating your enrolment and your student grant. You will also be asked to provide additional information via a web form.
Please check your e-mail regularly in the last week of the month if you think you are eligible for graduation. You are responsible for terminating your enrolment in time.
Our grading system will be noted on the appendix of your diploma.
A weighted average grade is published on the International Diploma Supplement. For students who graduated before September 1st 2017, it is published as a Grade Point Average (GPA). For all students who graduate after September 1st 2017, it is published as a weighted average grade on the ten point scale.
The Board of Examiners will verify whether you have met the requirements for graduating cum laude. More information about cum laude can be found in the Education and Examination Regulations.
If you graduate during the academic year and wish to terminate your enrolment, you will have to do so yourself by submitting a request in Studielink.
N.B. Do not terminate your enrolment before you received the official graduation email from the Board of Examiners.
Your enrolment will be terminated as of the 1st of the month following your request. If your last result is registered in April, and you want to terminate your enrolment as of 1 May, you have to put in your request on or before 30 April. It is not possible to terminate your enrolment retroactively.
You may choose to stay enrolled for the rest of the academic year, in which case your enrolment automatically ends as of 1 September. Of course you will then be required to pay the tuition fee for the rest of the academic year.
If you graduate in the summer (June, July or August), there is no need to request termination of your enrolment. You are not entitled to a refund of tuition fees and your current enrolment will automatically end as of 1 September.

If you want to postpone your graduation you may submit your request to the Board of Examiners. You can do this within two weeks after receiving the email that you have met the graduation requirements. This email will state detailed information about postponement.
In 2022-2023 postponement will certainly be granted if you:
- Are to assume a board position for which a board scholarship from Utrecht University is available
- Are to do an internship
- Are to follow a course abroad
- Must take courses which are obligatory for admittance to a Master's programme (please note: only applicable for Bachelor students).
Postponement granted
If your request for postponement is granted, you will receive a notification. The notification will state until which date the postponement will be valid. After this date, you will once again receive notification that you have met the graduation requirements. You will then be told on which date you graduate.
Postponement not granted
If your request for postponement is not granted, you will receive a notification. You will also be notified of your graduation date and given information about subjects such as the termination of your registration and your student grant.
Pick up your diploma at the student desk:
You can pick up your diploma at the Student Information Desk (for opening hours: see the contact tab) from the date that it is available for pickup. You can find the dates in written above. Please bring your ID with you.
Authorise someone else to pick up your diploma
If you are not able to pick up your diploma yourself, you can authorise somebody else to pick it up for you. Please fill out this authorisation form. Please note that the person picking up your diploma has to bring their ID with them.
Receive your diploma by post (only to addresses outside of the Netherlands)
If you are not able to pick up your diploma and you are not living in the Netherlands, you can request to receive your diploma at your home address by filling in the diploma by post form. Your diploma can only be sent out after it is available for pickup. Please see above for the dates.
We will only send the diploma and the diploma supplement. Please note that it is not possible to send a certified copy of your diploma, as your signature should be on the diploma first.
We will send the documents using PostNL and you will receive the Track and Trace number once we received the payment.

You are eligible for your student loan and/or travel card from DUO as long as you are enrolled as a student. Once your enrolment ends, you have to cancel these yourself. Read more on how and when to cancel your student grant and/or travel card.
If you are a non-EU/EEA student and hold a residence permit for study purposes, your residence permit is only valid as long as you are enrolled as a student at Utrecht University. Read more about the validity of your residence permit.
