What does graduation mean?

The Board of Examiners of your programme will determine your graduation date, the date on your diploma. In order to graduate, you must first satisfy the exam requirements for your study programme. These are described in the Education and Examination Regulations of your Master's programme. Based on these criteria and your Study Progress Review the Board of Examiners then determines whether you have graduated.

Please note! Graduation does not mean automatic termination of enrolment. If you wish to terminate your enrolment, you will have to do so yourself. This is not compulsory. You can choose not to terminate your enrolment and stay enrolled for the rest of the academic year.

You can terminate your enrolment as of the 1st of the month following your graduation date at the earliest and have to do so before then. So, for example, if your graduation date is 30 April, you have to do a request for termination of enrolment 30 April at the latest, to terminate your enrolment as of 1 May. It is not possible to terminate your enrolment retroactively.

When you have almost satisfied all of the examination requirements for your study programme, the Board of Examiners will check your study progress. They will then send you an email containing information about the graduation procedure. It will be sent to Academic Master's students once they have completed 40 EC. Students in a Research Master's programme will receive the email upon the completion of 90 EC.

Registration study results

The last day of the month in which your last study result/grade has been registered in OSIRIS - so nót the exam date on your Study Progress Review- is your graduation date. So, for example, if your last grade is registered on 23 April, then your graduation date is 30 April. So check OSIRIS regularly. When the last results have been registered you cán immediately terminate your enrolment -this is not compulsory-.

Results that are registered in Osiris after your graduation date will not count towards your degree and will not be listed on your International Diploma Supplement (IDS).

Uploading your Master's thesis

One of the requirements for graduation is that you upload your Master’s thesis to Utrecht University Library's digital thesis archive. Do this as soon as the final version has been approved. For more information, look in the menu on the left under "Uploading master's thesis".

This digital archive archive is also an interesting reference point to see what your fellow students have submitted. You can search or sort through it by faculty or study programme.

Graduation email

In the first week of the month following your graduation date, you will receive an email from the Board of Examiners informing you that you have graduated. So, for example, if you have graduated 30 April, then you will receive an email in the first week of May. In this email you will also find information about postponement of your graduation.

Postponement of graduation

Do you satifsy all the requirements of your study programme, but do you wish to postpone your graduation? This is only possible if you:

  • are to assume a board position for which a board scholarship from Utrecht University is available
  • are to follow courses abroad
  • are to do an internship.

Submit your request within two weeks after receiving your graduation email by using this form. You will receive a notification whether or not your request is granted.

Graduation certificate

Three weeks after receiving the graduation email, you can request a declaration of graduation at DUO. If you can not get this from DUO, you can email the Student Desk Humanities to request a certifitcate, if needed. You can use this certificate as proof of graduation when registering for further studies or applying for a job. You will receive your diploma during the graduation ceremony organised by your study programme.

Graduation ceremony

You will receive your diploma during the graduation ceremony organised by your study programme. Usually there are only one or two graduation ceremonies each academic year, so quite a few months may elapse between your graduation date and the ceremony where you will receive your diploma. GRADE POINT AVERAGE (GPA)

Your Grade Point Average is determined by the weighted average of your final grades. This weighted average is expressed by its corresponding Grade Point (see table). Your GPA is stated on your International Diploma Supplement.

Cum Laude

The Board of Examiners will determine whether you have met the criteria for the honours Cum Laude. Honours will be printed on your diploma and your diploma supplement. For more information, see the general Education and Examination Regulations Master's programmes.

Termination of enrolment / tuition fees refund

If you wish to terminate your enrolment after you graduate to be eligible for a refund of some of the tuition fees, you have to do so yourself. This is not done automatically and it is not compulsory! You can chose not to terminate your enrolment and stay enrolled for the rest of the academic year. In which case your enrolment will automatically end as of 1 September and you do not get any tuition fees refunded.

Please note! Tuition fees for the months July and August are never refunded, so you do not have to terminate your enrolment as of these months (graduation date in June until August).

Cancelling DUO student grant / travel card

If you receive a student grant and/or travel card from DUO, you are only eligible for these as long as you are enrolled. Once your enrolment ends, you have to cancel these yourself with DUO. Read more on how and when to cancel your student grant and/or travel card.

Validity residence permit

If you are a non-EU/EEA student and hold a residence permit for study purposes, your residence permit is only valid as long as you are enrolled as a student at Utrecht University. Read more about the validity of your residence permit.
